We value your time and the commitment of our clinicians. Our goal is to provide timely care to as many patients as possible while keeping our services accessible and affordable. When appointments are cancelled with sufficient notice, we can often offer the time to another client in need – helping everyone avoid unnecessary fees and making the best use of our clinicians’ schedules.
To support this, we require a minimum of 48 business hours’ notice for any changes or cancellations to service appointments or classes. For appointments scheduled on Mondays, notice must be given by the preceding Friday, as we are closed on Sundays. This provides the necessary 72-hour notice for Monday appointments.
Late Cancellation Appointments
If less than the required notice is given:
- We will make every effort to fill your appointment with another client.
- If we are successful, no cancellation fee will apply.
- If the appointment remains unfilled, a late cancellation fee equal to 100% of the scheduled service value will be charged to your credit card on file, up to a maximum of $200.
- We may offer to reschedule you into a same-day appointment at no additional charge, if availability allows.
- If you are enrolled in our loyalty program, you may be able to redeem points toward a reduction in your cancellation fee.
- At our discretion, a partial credit may be applied toward a future service as a courtesy.
No-show Appointments (missed appointments without notice)
If you miss your appointment without providing advance notice, it is considered a no-show. Your credit card on file will be charged 100% of the scheduled service value, up to a maximum of $200.
We understand that unforeseen circumstances can arise. However, you are still expected to notify us as soon as possible if you are unable to attend, even if it’s after your appointment start time. This helps us:
- Log and assess the situation.
- Attempt to adjust our schedule.
- Determine if a fee reduction or courtesy credit is appropriate under the circumstances
Please note: Missed appointments due to personal, technical, or transportation issues are still considered the client’s responsibility under this policy.
Outstanding Balances
Clients authorize Red Leaf Wellness to charge the credit card on file for:
- Missed or late-cancelled appointments
- Overdue balances
If an account becomes past due and is referred to a collection agency or legal representative, additional account administration fees, reasonable legal costs, and court fees may apply.
